HOSTWINS / LEGAL & POLICIES
Cancellation Policy
End a service clearly, avoid unwanted renewals and protect your website and email before moving on.
Effective 23 October 2026
1. How to cancel
Use your client portal to request cancellation where available, or email support@hostwins.co.za from the registered account address. Identify the service, domain if relevant, and desired end date. We accept other recorded requests valid under law and may verify your authority to protect the account.
We aim to acknowledge the request within two business days and will confirm the effective date and any final financial adjustment. Keep your request and our confirmation. If no acknowledgement arrives, contact support so that we can trace it; a valid request does not become invalid solely because our acknowledgement is delayed.
2. Monthly services
For ordinary monthly hosting or email, request cancellation before the next renewal is processed. The service ends at the end of the current paid billing period unless an earlier stop is agreed or a statutory right applies. No additional full notice month is imposed by this policy.
Tell us if you need access to stop sooner. Refund treatment follows the Refund Policy; asking for an immediate stop solely for convenience does not automatically create a partial-month refund. Statutory cooling-off and service-failure rights take priority.
3. Annual and fixed-term services
Prepaid annual hosting or email can be cancelled under the Refund Policy’s unused-complete-month calculation, without an automatic extra penalty month. We will confirm the end date and amount before closing the service.
Where CPA section 14 applies to a fixed-term agreement, cancellation may be made on 20 business days’ recorded notice, with only amounts and reasonable charges permitted by law. HostWins’ more favourable ordinary refund terms continue to apply where relevant. Section 14 does not apply to agreements between juristic persons. Required expiry notices and continuation rights will be honoured.
4. Domains are separate
Cancelling hosting does not cancel a domain, disable its renewal or transfer it to another registrar. State separately if you want domain auto-renew switched off or wish to transfer. Send a non-renewal request before the renewal transaction is processed; completed registry transactions may not be reversible.
We will confirm the renewal status and relevant registry requirements. If you want to keep a domain, arrange its transfer or renewal before expiry. Expiry may interrupt websites and email, incur recovery charges or ultimately make the name available to others. Any recovery charge must be disclosed before authorisation.
5. Website design cancellation
Send written notice if you want a project stopped. We will account for completed work and authorised non-recoverable external costs under the accepted quotation and Refund Policy, subject to law. An unused balance is refundable. We will clarify the handover of paid deliverables and the rights applying to them.
6. Save and migrate your data
Before the confirmed end date, download website files, databases and email, arrange replacement services and check DNS and delivery. If you need migration help, request it before closure; scope and any charge must be agreed.
Access ends when the service ends, and active hosting data may be removed from that point. We do not provide a post-cancellation archive or promise restoration. Residual backups expire through normal rotation and may not be available for recovery. Ask support about your account’s current restore options before confirming immediate cancellation. Billing and other records required by law may be retained under the Privacy Policy.
7. HostWins suspension or termination
Overdue payment, a material breach, unlawful use or a security threat may require proportionate action. We will give notice and a chance to remedy where law requires it. In particular, applicable CPA fixed-term breach protections will be honoured. An urgent protective suspension is separate from permanent termination.
Where lawful and practicable we will explain the reason, resolution steps and end date. Refund rights and remedies survive cancellation; termination does not automatically justify keeping all prepaid amounts.
8. Renewals and final bills
Cancelling one service does not cancel the rest of your account. Stopping a bank debit alone does not tell us which service to close. Equally, a valid cancellation does not require continued payment for a service that should already have ended. Report inconsistent charges so that we can investigate and correct them.
